Real double-entry accounting inside Perfex CRM — or send your documents to QuickBooks Online or Xero, or both. Invoices, payments, credit notes, refunds and expenses post themselves to a chart of accounts you control, as balanced journal entries that are never rewritten — corrections are reversals. Add vendor bills and payments, import bank statements (CSV, OFX/QFX, CAMT.053) and reconcile them with suggestions and rules, invoice in several currencies with realised exchange differences, and read a profit and loss, balance sheet, cash flow, trial balance, aged receivables and payables and tax summary that drill down to every Perfex document.
Your CRM already knows the money. Now it keeps the books.
Perfex Books is real double-entry accounting inside Perfex CRM. The invoices, payments and expenses you already record post themselves to your chart of accounts; vendor bills, bank reconciliation, multi-currency, tax and financial reports complete the picture — and every number opens to the document behind it. Already keep your books in QuickBooks Online or Xero? Books sends your Perfex documents there too.
A ledger you can trust
- Chart of accounts with types, sub-types, codes and parents; starter templates for small businesses, services and products; CSV import with a dry run.
- Every posting is a balanced journal entry in the document and the base currency, with exact decimal maths.
- Posted entries never change: an edit or cancellation adds a reversal and a new entry. Each document posts once, even if a job runs twice.
- Lock date, year-end close into retained earnings, an opening balances wizard and dimensions on every line (customer, vendor, project, cost centre, tags).
- A nightly integrity check that reports problems and never changes data.
Automatic posting from Perfex
- Invoices (discounts, adjustments, tax), payments, overpayments and credits, credit notes, refunds, expenses and subscriptions through their invoices.
- An account mapping screen for items, item groups, payment modes, expense categories and taxes.
- Historical backfill from a date you choose, previewed and reconciled against Perfex's own totals before anything posts.
- Changes in a locked period post on the first open day, linked to the original date. Accrual ledger; P&L and tax also on the cash basis.
Bills and banking
- Vendor bills with lines, tax, due dates and attachments; partial payments, vendor credits, aged payables and vendor statements.
- Bank statement import: CSV with saved mappings per bank, OFX/QFX and CAMT.053, with duplicate detection.
- Reconciliation with matching suggestions, rules, multi-item matches, grouped deposits, splits and transfers; reconcile to the closing balance, report and undo.
Multi-currency and tax
- Exchange rates per date, realised FX gain and loss, optional period-end revaluation with automatic reversal. A missing rate stops the posting; it is never treated as 1.
- Perfex taxes mapped to tax accounts; a tax summary per period (collected vs paid, accrual or cash) with drill-down and closed tax periods. No e-filing.
Reports that open
- Profit and loss, balance sheet, cash flow, trial balance, general ledger, journal report, account transactions, aged receivables and payables, customer and vendor statements, tax summary, budget vs actual.
- Date ranges, comparisons, dimension filters and drill-down to journals and Perfex documents; CSV, XLSX and PDF exports that are safe to open in a spreadsheet.
- An overview with cash position, receivables, payables, profit this month against last and what needs attention.
QuickBooks Online and Xero sync
- Connect QuickBooks Online or Xero with your own app keys (OAuth 2.0; Xero with PKCE); tokens and secrets stored encrypted, renewed automatically; sandbox or production per connection.
- Customers, invoices, credit notes, payments, refunds and expenses go out with their lines, taxes, discounts and currency; edits update and cancellations void the same document, never a duplicate.
- Mapping screen with searchable provider pickers and suggestions by name, email or number — nothing is linked until you choose.
- A queue with retries that respects provider rate limits, a sync log, a Needs Review list with side-by-side review, and Send History with a preview before anything is sent.
- Payments recorded in QuickBooks or Xero come back for review and can be recorded on the Perfex invoice (off by default; changed payments are never applied).
- Use the Books ledger, the accounting app or both; choose which side your reports read from.
Switching from another accounting module
- A read-only importer brings the chart of accounts, mappings, history or opening balances and bank accounts from another accounting module on the same database — dry run first, one batch, undo by batch, the old module never changed.
Plugs into our other modules
- Perfex People: payroll journals (gross pay, deductions, net pay and employer costs) post once per pay run. Product Hub: inventory and cost of goods sold. Sales Growth: commission and loyalty accruals. Perfex Brain Pro: seven finance widgets. Perfex AI Staff: profit, cash, balances, overdue bills and tax due in plain words. Perfex Connect: read-only API resources. Perfex Cash & Capacity: actuals for forecasts.
Built to be trusted
- Separate permissions for view, reports, drafts, posting, approval, reconciliation, period close and settings, plus four for the accounting sync (connections, mapping, sending history, sync log); staff without View see nothing.
- Audit log of postings, reversals, reconciliations, closes and settings changes. CSRF-protected writes, record-level checks, locked periods enforced on the server, safe file parsing.
- Light and dark, phone layouts, nine languages with standard accounting terms; no Perfex core file changed.
Coming next
- Bank feeds. One-click updates.
